Privacy notice
Privacy notice for this website
This notice covers the keelhold.ai website. The Keelhold platform itself is covered by a separate notice and a data processing agreement with each customer.
Draft for review. This page is a working draft that has not yet been reviewed by a solicitor. It is here so that it can be read and improved before Keelhold's private beta.
Who we are
Keelhold is being prepared for launch by its own company, which is not yet registered. When it is, this notice will name it as the controller, with its registered details and a contact address. Until then the site collects no personal data, and there is no form or published address to write to.
This website
The website sets no cookies, runs no analytics and loads nothing from third parties. The pages are served by Microsoft Azure, which processes technical data such as your IP address in order to deliver the pages and protect the service. We do not receive visitor analytics from it.
When a contact address is published
If you then write to us, we will process the personal data you give us: typically your name, your work email address, your organisation and role, and what you tell us about your needs. We will use it to answer you, to arrange the conversations you ask for and, if you take part in the private beta, to run that engagement.
Our lawful basis will be our legitimate interest in responding to enquiries about the product and running the business and, where a beta agreement is in place, the performance of that contract. We will keep enquiries for as long as the conversation is live and for a reasonable period afterwards so that we can pick it up again if you return. Enquiries that lead nowhere will be deleted within twelve months.
Where your data will be held
Email and documents will be held in Microsoft 365 and Microsoft Azure services in the United Kingdom. We will not sell personal data, and we will share it only with providers who process it on our instructions under contract.
Your rights
Under UK data protection law you can ask for a copy of the personal data we hold about you, ask us to correct or delete it, object to or restrict our processing, and ask for the data you gave us in a portable form. Write to the contact address once it is published and we will respond within one month. If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk.
The Keelhold platform
When an organisation uses Keelhold, that organisation is the controller of the documents and data it stages, and the operating company processes them on its instructions under a data processing agreement. The platform runs either as a service hosted in Microsoft Azure in the United Kingdom, with a separate deployment for each customer, or in the customer's own Azure subscription. The notice and the agreement for the platform are provided to each customer before an engagement begins.
Changes
We will update this notice when our practices change, and show the version and date at the top.
